1. Eligibility
Membership plans are available to patients aged 18 and over. Patients under 18 must have a parent or guardian as the primary account holder.
2. Payment Terms
Monthly Payments: Monthly membership fees are collected automatically on the same date each month as your membership start date. Payments are processed through Stripe and will be taken automatically from your nominated payment method.
Payment Processing: All payments are processed securely through Stripe. By subscribing to a membership plan, you authorise us to charge your payment method for the membership fees.
Failed Payments: If a payment fails, we will attempt to retry the payment. If payment continues to fail, your membership may be suspended until payment is received.
3. Membership Benefits
All membership benefits are subject to availability and clinical need. The practice reserves the right to modify or withdraw benefits with 30 days' notice to members.
Examinations and Hygiene: Included appointments are subject to availability and must be booked in advance. No-shows or cancellations with less than 24 hours' notice may result in the loss of the included appointment.
Discounts: Treatment discounts apply to the full treatment cost and cannot be combined with other offers or promotions. Discounts do not apply to membership fees or finance charges.
4. Cancellation Policy
Monthly Memberships: You may cancel your monthly membership at any time by providing 30 days' written notice. Your membership will remain active until the end of the 30-day notice period.
Annual Memberships: Annual memberships are non-refundable. However, if you cancel due to medical reasons (supported by medical documentation), we may offer a pro-rata refund.
Cancellation Process: To cancel your membership, please contact us in writing via email or post. Verbal cancellations will not be accepted.
5. Family Coverage (Gold Plan Only)
Family coverage allows you to extend certain benefits to immediate family members (spouse/partner and dependent children under 18). Family members must be registered patients at the practice.
Family members will receive the same treatment discounts as the primary member but will not receive included examinations or hygiene appointments.
6. Emergency Appointments
Half-price emergency appointments are available during normal practice hours only. Emergency appointments outside of normal hours will be charged at the full rate.
Emergency appointments are subject to availability and clinical priority. The practice reserves the right to determine what constitutes an emergency.
7. Specialist Access
Access to specialists (Orange and Gold plans) is subject to clinical need and specialist availability. Specialist consultations and treatments are not included in membership fees and will be charged separately.
8. Data Protection
We process your personal data in accordance with our Privacy Policy and applicable data protection laws. By subscribing to a membership plan, you consent to us processing your data for membership administration and dental care purposes.
9. Changes to Terms
We reserve the right to modify these terms and conditions at any time. Changes will be communicated to members via email or post at least 30 days before they take effect.
If you do not agree to the changes, you may cancel your membership within 30 days of receiving notice of the changes.
10. Complaints
If you have any concerns about your membership or our services, please contact us in the first instance. We aim to resolve all complaints promptly and fairly.
If you are not satisfied with our response, you may escalate your complaint to the relevant regulatory body or seek independent advice.
11. Limitation of Liability
Our liability for any loss or damage arising from your membership is limited to the amount of membership fees paid in the 12 months preceding the claim.
We are not liable for any indirect or consequential losses, including but not limited to loss of profits, business interruption, or data loss.
12. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
